JPSM Golf is seeking an experienced Office Administrator as a Maternity leave replacement.
Office hours are Monday to Friday from 9:00am to 5:00pm
OVERALL DUTIES:
RECEPTION
• Greet and assist showroom customers including back-up sales support
• Answer, direct and return phone calls – consumer & customer enquiries
• Schedule customer appointments (add to desk calendar and Outlook shared calendar)
• Manage emails: sales, customer service/general enquiries, returns, deliveries
• Receive and sort daily mail
• Order and maintain office supplies

INSIDE SALES SUPPORT
• Receive, acknowledge, enter and process sales daily via major retailer EDI system
• Process telephone and email orders from green grass (Golf Clubs) and direct customers
• Process orders via website/Shopify – receive, print, process and payment
• Enter and process FedEx shipping and returns
• Maintain sales logs/serial numbers
• Provide sales reports via Sage50
• May pitch in to ship small boxes, locate items in Warehouse when others are busy.

ACCOUNTS RECEIVABLE & PAYABLE
• Enter vendor invoices
• Process cheques for vendor payments
• Management of Media/Ads/Promo payments monthly
• Post customer payments in Sage50 (credit card, interac, PayPal, Cheques, EFT)

BOOKKEEPING (Work closely with monthly bookkeeper)
• Bank accounts, PayPal and credit card reconciliation (monthly)
• HST Tax remittance (quarterly)
• Payroll deductions calculating and reporting (monthly)
• WSIB remittance (quarterly) and claims handling
• Employee expense reports (as needed)
• Reconcile Petty Cash expenses (per transaction)
• Cambridge foreign exchange account management
• Bank deposits and posting

WEBSITE ADMINISTRATION

• Manage and update data (images, videos, information, products & variants, pages, prices, files,
customers)
• Manage and monitor inventory on website
• Forms and labels management, creation, and printing

INVENTORY ADMINISTRATION
• Inventory monitoring in Sage 50
o Monitor, adjust, and manage inventory in Sage 50
o Track and manage back ordered items, out of stock items
• Assist in inventory purchase forecasting
• Warehouse supplies purchasing

TECHNICAL/WARRANTY
Speak with customers to troubleshoot/diagnose
• Provide RA#, return details, and return label (where applicable)
• Enter and track all warranty claims and service via Excel or NetSuite
• Send requests for PO for repairs / provide updates on repairs

HEALTH & SAFETY
Beneficial to have Emergency First Aid/CPR-A certified for on-site WSIB compliance
• Management of WSIB Claims by employees
• Management of all compliance posts, supplies, and information under accordance of Occupational Health
& Safety Act

Must demonstrate proficiency in:
• Computer literacy – composing emails, Excel, Word
• Sage50 Accounting
• Shopify


This is a growing and very fast-paced business once the golf season begins. Our Office Administrator is an important position and at times it will be necessary to maintain grace under pressure. This is a casual work environment with a small team – everyone pitches in to do what is required. We value a willingness to learn and most importantly – use common sense.
Must have reliable transportation to Pickering, Ontario (Hwy 401/Brock Road). Beneficial to have some interest/knowledge of golf.
